Our Services

Financial Management

We work with members to set up electronic funds collection, to ensure housing charges are collected in a timely manner. The staff at Auxilium will promptly follow up with delayed payments and address the issues as per the co-op’s by-law.

Provide monthly financial statements including financial results for the period; year to date; comparison to budget; bank reconciliations; AR & AP listings as well as a detailed year-end report. Our online communication portal provides real time financial data of the co-operative’s operating and reserve fund accounts anytime, from any location. Through this transparent reporting, we make it easy for our board of directors to review (check) the status of the property (community) at a glance and have a better understanding of any financial activity that transpires during the period.

We also work with the Board of Directors to create loss recovery plans and implement a process to minimize vacancy loss.

Maintenance & Repairs

We specialize in resolving maintenance issues quickly and keeping co-op members satisfied with our service. Auxilium works with an extensive network of tradespeople, including locksmiths, electricians, plumbers and specialized repair personnel who attend to our clients’ needs on a priority basis. We respect our member’s time and privacy, coordinating work times and informing them of all work to be performed on the premises.

When it comes to the larger scale projects the staff at Auxilium will follow competitive bidding/quotes process to obtain the best result for co-ops. Auxilium will also assist the board of directors in developing a high level workable preventative maintenance plan to reduce the operating cost and improve the member’s satisfaction.

Once a project is completed the workmanship will be inspected to satisfy the co-ops best interest before issuing payment. In addition to the preventative maintenance, we will also assist in developing a reserve fund study and monitor the plan annually to make sure that co-op is financial viable to manage the capital needs. Should a financial shortfall occur, we will work with the board to develop a plan to overcome any financial shortfall.

Property Inspections

Auxilium takes a proactive approach to property maintenance, trying to avoid unexpected capital expenditures. We routinely inspect the co-operative common areas and units and provide the board of directors with reliable advice and recommendations. The report will include photos and provide a summary of deficiency report along with a cost effective deficiency management plan will be provided.

A thorough site inspection will be conducted to identify the capital needs prior to fiscal year end a capital plan will be provided for a review by the board at the budget meeting. We are also able available to provide assistance on potential capital improvement projects and consult on possible courses of action to resolve problems cost effectively and increase member satisfaction.

24/7 Emergency Response

When a member reports an emergency in the middle of the night, they will never get an answering service that is unfamiliar with their situation. Taking those 3 a.m. phone calls is at the core of our responsibility to the co-operative, relieving members of the stress of handling these crises on their own. Whether they are reporting an electricity outage, toilet overflow, burst pipe or other urgent situation, we will take action quickly and follow up with the members to ensure that repairs are completed.

In addition we will take a proactive approach and develop a site specific emergency management plan to manage any major emergencies.

Membership Management

Auxilium provides a full range of services in coordinating membership, including maintaining waiting lists, coordinating member move in’s/out, co-op marketing and responding to prospective member inquiries.

Our multi-disciplinary team also handles all responsibilities related to membership administration; RGI administration; oversight and enforcement of by-laws and rules; reserve fund studies; accounting and budgeting; vendor selection and retention; energy and environmental audits and more. We work closely with the Board of Directors in understanding their key messaging and properly communicating all facets of the cooperative to the members. In addition Auxilium will also work alongside with the service manager to optimize the benefits of social housing incentives programs.
